We’re user funded, so our budget is dependent on us making good choices and making people want to come visit us. But the advantage of this is I can tell people who give me the “I pay taxes line” that I do too and it doesn’t matter lol. I’ve debated on something like you’re describing, but for now I’ve got the hand I’ve been dealt.Can you eliminate this system and hire a seasoned tech, even if its just a part-time position?
Sounds like this is a taxpayer funded government fleet. Seems odd to have such a dysfunctional system.
It’s a park and the maintenance guy is in theory supposed to be all around/general maintenance. And they’re just utility tractors, so they pull mowers, landscape rakes, get used for snowplowing and bucket work. Whatever the task at hand that day is. So we have turf tires for mowing season and tractor tires for fall and winter. The interns are kids in school for wildlife conservation, biology, parks management etc so these are skill sets they’ll need at some point in their future careers, plus it’s just not a bad thing to know in general. To a degree I enjoy teaching them stuff, but there are days I don’t have time to help them that much but still need it done. And that’s where things like this would be handy. If nothing else a list of things like grease points and required fluids would be great to have on hand.Without knowing who was hired to do what and at least some clearer idea of how big this fleet is an what sorts of vehicles are in it, it is hard to say what you could or should do. What are the interns actually there for? Why are they there what are yhey there to learn? The maintenance guy, is he building maintenance, all around maintenance or something else and is this fleet his stuff or someone elses? Is this government? Exactly what's the goverments link here? What are the tractors used for?
Anyway, if you are not a technical writer or were not tasked to do such a thing be careful. Make sure you know all the requirements before you task someone, especially an intern, to meet them.
Actually right now we have some time and could probably get it done without too much pain and suffering. And I can always print out and laminate excel spreadsheets.@Kscardsfan

I maintain a fleet consisting of a bit of everything. So my recommendation wasnt shooting from the hip or being facetious.
I keep one excel spreadsheet that lists everything. I can access that when mobile too. Similar to what @Tools4Me is doing with his laminated cards, but digital. But my database doesnt list fasteners or tools; I got all that in my head. More specs, VIN’s, repair description, costs, etc.
Would it be feasible to have someone go thru each piece of equipment and document all the data you are after? It would probably go quickly.
